Duties of the Executive Board
President's Duties
- 1. Preside at all Band Booster
meetings.
2. Oversee all aspects of the Band Booster program.
a. Be available to assist the band staff
if needed.
b. Appear at most band functions where
boosters are working to be available for anything the band staff,
students or boosters may need.
c. Assist the Communications Chairperson,
if necessary, to insure the newsletter is completed and mailed
on schedule.
d. Assist the Hospitality Chairperson,
if necessary, to insure the gameday food is ordered and delivered.
e. Assist the Activities Chairperson,
if necessary, to insure the booster fundraising activities proceed
as expected (i.e., Spirit Items, Spud Supper, Silent Auction).
f. Assist the Colorguard Chairperson,
if necessary, to insure all colorguard needs are met.
g. Assist the Uniforms Chairperson, if
necessary, to insure all uniform fittings and adjustments are
completed as needed.
h. Assist the Pit Pack Leader, if necessary,
to insure pit coverage.
i. Organize the booster portion of the
annual Band Registration Day and coordinate with the band director
what assistance is needed, if any, for other aspects of Registration.
3. Call emergency meetings of the general membership when necessary.
4. Call meetings of the Executive Board when necessary.
5. Serve as ex-officio member of all committees except the Nominating
Committee.
6. Serve as co-signer on Band Booster funds.
7. Oversee maintenance and coverage of First Aid Kit.
8. Program the Automated Caller with any necessary Booster alerts.
9. Handle Early Registration (fees only)
10. Assist the Vice-President in collection of water 12-packs
at the Swimming Party and Lock-In.
11. Perform other duties as requested by the Executive Board
or Band Director.

Vice President's Duties

- 1. Assume the duties of the
President in the absence of the President.
2. Assist the President as requested.
3. Provide chaperone assistance to the band as requested by the
Band Director.
4. Notify/confirm chaperones for all events where required.
5. Insure the Travel Box and First Aid Kit are both secured on
a bus with a chaperone for any trip.
6. Insure the seat cushions are packed and loaded for football
games.
7. Turn in volunteer hours on a monthly basis for the booster
organization.
8. Assist the President in collection of water 12-packs at the
Swimming Party and Lock-In.
9. Assist the Treasurer in handling booster funds.
10. Perform other duties as requested by the Executive Board
or Band Director.
Secretary's Duties
- 1. Records minutes of all Executive
Board and general membership meetings and keep a file of minutes
available in the Band Director's office.
2. Submit minutes for approval at successive meetings.
3. Prepare correspondence of the Band Boosters in coordination
with the Band Director, President, and/or Executive Board
4. Email the Executive Board meeting minutes to all Executive
Board members within two weeks of EB meeting for review.
5. Email General Membership meeting minutes to website administrator
within one week of GM meeting.
6. Handle "Thank You" notes for the Executive Board
and boosters where appropriate.
7. Handle printing and mailing of "Certificate of Appreciation"
to local businesses that support the band program.
8. Perform other duties as requested by the Executive Board or
Band Director.
Treasurer's Duties
1. Record all financial matters
of the Band Boosters.
2. Balance checkbook and reconcile monthly bank statements.
3. Serve as cosigner on Band Booster funds.
4. Collect receipts or bills for all disbursements and file for
recording purposes.
5. Report on financial matters to the Executive Board no less
than once a month.
6. Report financial position to general membership at monthly
meeting.
7. Submit annual financial statements for review to the Executive
Board in May of each year and/or the Audit Committee, which is
appointed by the President.
8. Provide necessary financial information to CPA for income
tax filing purposes.
9. Perform other duties as requested by the Executive Board or
Band Director.
Treasurer-Elect's Duties
1. Responsible for handling student
point accounts.
2. Have student account balances available for review at the
regularly scheduled monthly Band Booster meeting.
3. Collect moneys from Band Administrative Assistant and make
deposits.
4. Provide deposit information to Treasurer for recording.
5. Monitor Petty Cash.
6. Assist the Treasurer in the performance of his/her duties.
7. Serve as cosigner on Band Booster funds.
8. Perform other duties as requested by the Executive Board or
Band Director.
Historian's Duties
1. Supervise the Communications
Committee.
2. Assist the Communications Chair in distribution of the newsletter.
3. Maintain an up-to-date scrapbook of band booster activities.
4. See that an up-to-date photograph bulletin board located in
the band hall is maintained.
5. Coordinate Senior Awards for final home football game.
6. Perform other duties as requested by the Executive Board or
Band Director.
